Offer appointments by video. When a customer books at an online (virtual) location, Bookingly creates a meeting with the provider you choose and emails the customer the link. Meeting integrations are available to appointment and service businesses.
Choose a provider
Provider | Needs | Customer also receives |
|---|---|---|
Google Meet | A Google account | A Google Calendar invite |
Every customer gets a Bookingly email called "Your link" with the meeting details.
Connect a provider
- Open More > Integrations > All integrations.
- Under Meeting integrations, select the provider you want to use.
- Select Connect and sign in to your account to allow Bookingly to create meetings.
Bookingly only creates meetings for your bookings. If access is later removed in your provider account, the integration shows Reconnect needed. Select it and sign in again.
For Google Meet you can also choose which Google calendar the meetings are created in.
Switch it on for a location
When you first connect a meeting integration, it is switched on for all your online locations automatically. To change it for a location:
- Open Settings > Locations and edit your online location.
- Turn the meeting integration on or off, or pick a different one.
- Optionally tick reminders to email the link again 10 minutes, 30 minutes, 1 hour or 2 hours before the appointment.
The customer is emailed the link as soon as the booking is made. A reminder isn't sent if the booking was made after that time, and if a booking is moved its reminders start again.
A location can use one meeting integration at a time. Switching one on switches the others off.
Recurring bookings
A recurring booking only has one meeting at a time, for its next appointment. This stops the customer being sent a link for every date in the series at once. When the next appointment's turn comes, its meeting is created and the link is emailed.
Choose when that happens in the location's Recurring bookings setting:
Option | The link is created and emailed |
|---|---|
As soon as the previous appointment has ended | Straight after the previous appointment finishes |
24 hours before the appointment (default) | One day before the appointment |
48 hours before the appointment | Two days before |
72 hours before the appointment | Three days before |
The link is never created before the previous appointment in the series has ended. If a booking is made inside the chosen time, for example a series that starts tomorrow, its link is sent straight away.
This also applies to the first appointment in a series, so with the 24-hour option its link is sent the day before. Bookings that don't repeat are not affected and still get their link as soon as they are made.
Find or create a link
Open the booking in your calendar. The link shows on the booking, with a note that it has been sent to the customer. It also shows on the customer's manage-booking page.
Links are normally created for you. If creating the link failed repeatedly, the booking shows a Create link now button so you can try again. Until then the booking says the link is being created.
Good to know
- Meeting links are sent by email only, not by text message.
- You need permission to manage locations to switch a meeting integration on for a location.
