Connect your own Google Calendar to Bookingly and the two stay in step:
- Your bookings appear in your calendar. Confirmed bookings you are part of are added, moved when they are rescheduled, and removed when they are cancelled.
- Your calendar stops you being double booked. Anything you're busy with in your calendar, such as a dentist appointment or a meeting, stops customers booking you at that time online.
Each staff member connects their own calendar. This is for appointment and service businesses.
Connect your calendar
- Open More > Integrations > All integrations.
- Under Connect your calendar, select Google Calendar.
- Select Connect with Google, then sign in to your own account and allow Bookingly to see and manage the events in your calendar.
- You are brought back to Bookingly, which now shows your account and when your calendar was last checked.
You do not need any special permission to connect your own calendar. If you can't see Integrations in the More menu, ask the business owner.
What is added to your calendar
Each confirmed booking you are part of becomes an event in your calendar, running from the start of your first service to the end of your last one. The event shows the services, the customer's name, phone, email and any booking notes, and the location.
- Moving a booking moves the event, and cancelling it removes the event.
- Customers are not sent an invitation. They get their usual booking emails from Bookingly.
- If you delete the event from your calendar yourself, Bookingly leaves it deleted.
- Change a booking in Bookingly, not in your calendar. Changes made to the event in your calendar don't change the booking.
- Bookings that are still waiting for payment (pending) are added once they are confirmed.
What is read from your calendar
Bookingly checks your calendar every few minutes for the next 90 days. Events that show you as busy stop you being offered for online bookings at those times, including all-day events such as leave.
These are ignored, so they don't block you:
- events marked as free or available
- cancelled events
- events you have declined
- the bookings Bookingly added itself
Bookingly only uses the times you are busy. It does not keep the titles or details of your other events.
Because your calendar is checked every few minutes, a new event can take a few minutes to take effect. The busy times also show in your Bookingly calendar as Busy (Google Calendar), so you can see why you're not available.
Bookings you add yourself from the Bookingly calendar aren't stopped by a busy time, the same as blocked time. See Block Time in Your Calendar.
Choose which calendar bookings go in
If you have several calendars, choose where your bookings are added.
- Open your calendar integration page.
- Under Calendar for bookings, choose a calendar.
Only new bookings, and bookings that move afterwards, use the new choice. Events in your main calendar, as well as the one you chose, stop you being booked.
If you don't see a list of calendars, Bookingly wasn't allowed to see it. Disconnect, connect again and leave all the requested permissions ticked.
See who has connected
If you can manage staff members, the integration page shows your team and who has connected. You can disconnect anyone's calendar. Staff must connect their own, because it needs them to sign in to their own account.
Disconnect your calendar
Select Disconnect on your calendar integration page. Your upcoming bookings are removed from your calendar, past ones are left, and events in your calendar no longer stop you being booked.
If it stops working
If Google no longer accepts the connection, for example because you removed Bookingly's access or changed your password, the integration shows Reconnect needed. Your bookings stop being added and your calendar stops being checked, so you could be booked at a time you're busy. Select Reconnect and sign in again.
Good to know
- Your hours still come from your working hours and your location's opening hours. See Set a Staff Member's Working Hours.
- Calendar sync is separate from Send Video Meeting Links with Google Meet. You can use both.
