Set a Staff Member's Working Hours

Last updated 1 November 2026

A staff member's working hours decide when customers can book them. Hours are set per location, so someone who works at two locations can have different days and times at each.

Set the hours

  1. Open More > Staff > Staff members and select the person.
  2. Choose their locations in the Locations section first.
  3. Scroll to Working hours. Each location you chose has its own list of days.
  4. Tick each day the person works. Days left unticked show Not working.
  5. For each ticked day, choose the shift From and to times.
  6. Select Save.

You need permission to add and edit staff members. Without it the hours are view-only.

Split shifts

To give someone a break in the middle of the day, add a second shift to the day, for example 9:00 AM to 12:00 PM and 1:00 PM to 5:00 PM. Use the add button next to a shift to add another, and the remove button to delete one. A day with only one shift can't have it removed. Untick the day instead.

Rules Bookingly checks

  • Shifts on the same day can't overlap each other.
  • Each location needs at least one shift. Remove a location from the staff member if they don't work there.
  • A shift's end time must be after its start time.

Hours work together with opening hours

A time is offered to customers only when the staff member is working and the location is open. If a time is missing from your booking page, check both. See Set Your Location's Opening Hours.

One-off changes

Working hours are the regular weekly pattern. For absences use Book Time Off for Staff. For a short break, such as a meeting, see Block Time in Your Calendar. To close the business on certain dates, see Close Your Business on Specific Dates. To stop being booked whenever your own Google calendar shows you as busy, see Sync Your Calendar with Google Calendar.

Changing hours with existing bookings

Changing someone's hours affects what customers can book from then on. Bookings that already exist aren't moved or cancelled, so check the calendar and contact any affected customers.
